EVENT TOPIC AND TOPOLOGY
The topic of this event is a Marriage ceremony held according to the Pakistani culture and customs. This event took place to celebrate the bonding between of the families of bride and groom. This event was categorized as a community event.
IDEA / PROPOSAL
The objective of this event was to organize a marriage ceremony according to the cultural traditions and creating a welcoming environment for the estimated 1000 guests that were coming to celebrate the marriage of Mr. Sohaib Aslam and Miss Humera Malik. It was a two day event consisting on the function of Barat and Walima. Both functions have separate themes so the decorations and lightings for both days were different.
FEASIBILITY STUDY
When idea and proposal are done the Management Company performed a complete feasibility study for organizing this event. The first step was to decide the venue which has seating capacity of over one thousand. Secondly the dinner menu was to be decided for the guests. Thirdly Accommodation should be arranged for the guests that are arriving from out of city and country. The fourth step consisted of devising a sitting plan was to be used for this event.
EVENT VENUE
The venue that was selected for this event was Topaz Event Complex. It has three different halls from which hall B was selected and it had a seating capacity of 1000 guests. And it fulfilled all the requirements that were needed to accomplish this event.
LOGISTICS
Logistics is the management of all the details and operations that have a particular significance. In this event logistics included the setting of stage, the decorations made in the hall and at reception for both functions (Barat and Walima), the catering facility to provide dinner for all the guests attending this event and the sitting plan devised for the guests. The sitting plan was a particularly challenging one for this event. The management used buffet style sitting to accommodate all the guests.
Site Survey: As this is a community event in social events category so it requires an event complex or a marriage hall that meets the desired requirements of a marriage ceremony event. So the TOPAZ event complex was chosen because TOPAZ was meeting all the requirements need to accomplish this event.
CRITICAL SUCCESS FACTORS
Customer satisfaction Customer satisfaction is one of the important objectives for any hospitality business. So if the customer was satisfied and parted ways with a good image of organization his mind then the event was a huge success and that guest would count as good potential customer for future but if the guest left dissatisfied and with a bad impression then the management organization lost its future potential customer
ENVIRONMENTAL SCANNING
Environmental scanning refers to the elements that are affecting the event internally or externally. This process is also known as the SWOT analysis. In this we analyze the internal factors i.e. strengths and weaknesses, as well as external factors .i.e. opportunities and treats.
Strengths: For an event its strength is the perfect and desired outcome and to achieve it a well trained management and service staff is compulsory. Venue of the event also becomes a major strength of the event.
CONCLUSION
The planning and operational phases of this event were especially very educating and enlightening about the most minor details that are usually overlooked. After the study of the budgeting procedure of this event many complexities about the budget flexibilities and cash flow management became much clearer. The SWOT analysis of this event showed that what kind of tasks and procedures may become strengths or weaknesses and what type of threats this event was facing. The most important thing this study shows is that the basic structure of the event rests upon the service staff and their service quality.
