The “Pondicherry Tours and Travels” that provides world class business with around the clock service. We put more concentration on the people to full fill their transport requirements and they utilize the opportunities to operate their fleet with them.
In our travel consultancy is to provide service to people Arranging tour
and also available any type of vehicles for rent . Our organization placed on villianur main road. We also provide fleet management for whole podicherry.
ABOUT THE PROJECT
The Enterprise Resource Management (ERM) mainly aims at developing software for computerization of various activities in a corporate for departments like travels, cargo and communication zone. The application automates the flow control of the activities. The software helps in reducing the manual work by maintaining the booking details, customer details, driver details in the travels department and package status, enquiry section, booking details in cargo department and customer details, enquiry section in communication zone department etc. This software also guides the customer and answers their queries by the enquiry section in each department.
This project has a separate module for each division of the business concern. User name and password are maintained for the clients in various divisions. When they login, they can access only their particular division. The administrator can access all the divisions. The administrator can watch the daily report, weekly report and monthly report of each division. There is a separate module for the administrator alone to maintain the contacts details of his own.
PROBLEM DEFINITION AND FEASIBILITY ANALYSIS
PROBLEM DEFINITION
The Enterprise Resource Management (ERM) provides the user with more effective interface using GUI. It is mainly developed for computerization of the various activities in a corporate for departments like travels, cargo and communication zone. Each and every employee in the organization are provided with separate user id and password. So that the employee of particular department can only access the appropriate page allotted for him. The administrator has the privilege to go to any page of the software and access the data. The administrator alone has a telephone directory to maintain his contacts.
Existing System
Currently all the information related to the department are maintained manually. In the travels department the booking are maintained in a booking dairy and the customer details are not maintained separately. Then the driver details are maintained roughly. Then the vehicle details like date of FC, vehicle conditions are maintained in the appropriate vehicle RC books.
In the department of Cargo the package bookings are taken manually. No proper records are maintained for the past bookings. For each and every booking the rates are calculated manually. After the booking, they have to provide a manual receipt to the customer.
In the department of communication zone, all the customers who use the conference facilities have to register their name and address to the organization. The customers may pay any advance or remain as creditors. Whenever they do any conference, their call charge is noted down and it is written to their account. A customer come for a payment only once in a month or a week. Every time when the customers come for the payment their call details must be provided, which is maintained manually.
Problem Recognition
The existing system has the following inconvenience:
In Travels Department:
• As all the bookings are maintained manually it is difficult to search for the old bookings, which as to be provided for the companies to extend the transport tender.
• Misplacement or replacement of record occurs frequently.
• It becomes more tedious to have the entire details in papers.
In Cargo Department:
• If any package is not delivered then all the details of the package have to be retained for the further action. So the package details and receipts must be maintained carefully.
• This system is time consuming and may not guarantee 100% confidentiality.
In Communication Zone:
• Whenever the customer comes for the payment once in a week or month, then he has to provide with all the details of his conference calls which is maintained manually.
• If any record is missing, then the customer won’t be paying for that. So the organization has to bare the loss.
Proposed System
Having in mind, the difficulties faced by the employee in the organization and the time consumed to maintain these information in papers and dairies, we proposed to provide software for each department, which integrates all the operations maintained manually and generates automatic reports whenever needed.
The proposed system involves computerization of the existing manual system. In this system, all the functions performed in the each department are done in an efficient way with very good user interface.
The system also takes steps in the direction of the data maintenance and data security. The main objective of the computerizing the existing manual system is to overcome the drawbacks encountered in the manual systems.
Each and every employee in the organization is provided with a user id and password according to their department. When the employee enters with is user id, he/she can access the page which is privileged for him/her.
The administrator has all privilege to see all the reports and the data maintained by each department. He can also maintain a separate telephone directory for his convenience to maintain his business relations and contacts.
FEASIBILITY ANALYSIS
Feasibility analysis of a system is an important phase in the software engineering process. The main objective of the feasibility study is to consider the technical, operational, and economic feasibility to develop the software system. This is done by investigating the existing system in the area under investigation and generating ideas about a new system. The proposed system must be evaluated from a technical viewpoint first, and if technically feasible, the impact on the organization and staff must be assessed, if compatible social and technical systems can be devised, then they must be tested for economic feasibility
Operational Feasibility
This System involves the general user-friendly windows environment. Graphical User Interface, being today’s de facto standard, has been exploited to give the user a nice look and feel. Operational feasibility ensures that the project developed is successfully implemented in the organization. The software can be used by the employee with a basic training. Hence we conclude that this software is operationally feasible.
Technical Feasibility
This is the study where the technical requirements of the proposed system are checked and the efficiency of the newly developed project to work in the existing technical requirements of the system is also checked. Information regarding the upgrades in the technical aspects is gathered and is estimated with the technical features of the existing system. If the technical features that are available in the existing system are suited to accommodate the proposed system, then the system that has been developed is said to be technically feasible. As all the technology for this software is available in the organization, this software is technically feasible.
Economic Feasibility
Economical feasibility involves estimating benefits and costs. The economic feasibility is estimated in terms of time, cost and manpower. Since the organization is well prepared with hardware and software, no additional cost was needed in developing the project. So it is economically feasible.
