INTRODUCTION/BACKGROUND
The main objective of university teaching hospital is to provide health services or medical services to the Zambian citizens and foreign people and also to train health personnel’s and to conduct research on the existing health problems, for better health conditions and this can’t be properly managed with a manual system because the hospital is too big hence automated is appropriate system. The government of republic of Zambia established the Clinic under the readership of President Kenneth Kaunda.
Purpose
The Software is for the automation of Mtendere Clinic Management. It maintains two levels of users that is the Administrator Level and User Level. The Software includes: Maintaining Patient details, Providing Prescription, Precautions, Diet advice, Providing and maintaining all kinds of tests for a patient, Billing and Report generation.
Technologies to be used
This project will be a desktop application to be developed in VB.NET having Microsoft Access as backend. Database Design (Microsoft Access), Form Design (VB.NET), Coding (VB.NET), Testing, (VB.NET), Reporting Tool (Data Report)
Overview
Project is related to Mtendere Clinic Management System. The project maintains two levels of users. Administrator Level-Doctor User Level-Data Entry Operator Main facilities available in this project are maintaining records of indoor and outdoor patients, maintaining patient’s diagnosis details, advised tests to be done, providing different test facilities to a doctor for diagnosis of patients.
OVERALL DESCRIPTION OF THE CURRENT EXISTING SYSTEM.
Basically, the existing system which is used by Mtendere clinic is described as manual system. The system involves the use of paper documentation, such as receipts books and pens to write and make appointments with medical staffs, and patients. The system consists of books and files in which patient’s information are recorded, such as patient name, birth date, address and phone number, the other files contains patients name, Doctors name, date and time. In this system, for instance when a patient makes an appointment, his or her details are recorded and stored in the patient’s file. This is basically a file that is opened to each patient. Once the appointment details are entered, the patient waits for an appointment card or slip which is written using a pen. The appointment card or slips are extracted from the slip book and on it details of a patient are entered, such as time of appointment, date, doctors’ name and patient’s name. The slip is prepared and given to the patient waiting for medication.
OBJECTIVES OF A PROPOSED SYSTEM
The Software is for the automation of Mtendere clinic Management. As it maintains two levels or types of users these are Administrator Level and User Level. The Software includes Maintaining Patient details. Providing Prescription, Precautions and Diet advice, and maintaining all kinds of tests for a patient, Billing and Report generation.
Record Review
The previous records on how the Mtendere Clinic Management system has been working, were inspected. Management process was reviewed to determine the kind of information they need and when they need it. Records reviewed were the period enters and how the billing system is done so as to ensure the patients pays their bills before checking out of the Clinic.
Observation
Observations were done to determine how patients information is kept can be conducted if the proposed system is implemented. The operations and workings of the current system were closely monitored with a major focus on the management of information at the reception. The observation process was undertaken to understand how the accessing and processing of data is done. All these observations were undertaken to bring about complete understanding of how the departments operates and handles the data
OVERALL DESCRIPTION OF THE PROPOSED SYSTEM
There are various jobs that need to be done in a Clinic by the operational staff and Doctors. All these works are done on papers. The work is done as follows: Information about Patients is done by just writing the Patients name, age and gender. Whenever the Patient comes up his information is stored freshly. Bills are generated by recording price for each facility provided to Patient on a separate sheet and at last they all are summed up. Diagnosis information to patients is generally recorded on the document, which contains Patient information. It is destroyed after some time period to decrease the paper load in the office. Immunization records of children are maintained in pre-formatted sheets, which are kept in a file.
DESIGN OF THE SOLUTION
The Mtendere Clinic Management System is a system developed to help improve the operations of the Clinic. The system will have a central database where all the particulars of the patients will be captured. These include details of the patients, national registration card, date they enters the Clinic reception, likely date of leaving the Clinic and other particulars are entered into the database. The system also generates a patient’s number that will give an identification of the patients in the Clinic. This is to ensure that the storage and retrieval of information is fast and effective. The system will start with a login form which leads the users to the various forms depending on their access rights. These access levels include; the administrator who views and has access to all the features of the system, the other type of access level is just for the users like Receptionist, these can only check in patients, beds.
CONCLUSION
The project Mtendere Clinic Management System (MCMS) is for computerizing the working in a Mtendere Clinic. The software takes care of all the requirements of an average Clinic and is capable to provide easy and effective storage of information related to patients that come up to the Clinic. It generates test reports; provide prescription details including various tests, diet advice, and medicines prescribed to patient and doctor. It also provides injection details and billing facility on the basis of patient’s status whether it is an indoor or outdoor patient. The system also provides the facility of backup as per the requirement.
