Existing System:
In the existing system people who are having local phones at their homes are unable to make phone calls to outside. To satisfy this need people need to go to telephone booth directly, connect to a number, talk for sometime and pay the bill. In this process the shop keeper needs to store all customer bills, payments and credits in a book to track all the business needs. Since maintaining all these details manually is a tedious process and time consuming we need a software application which automates all these things and track the business details efficiently.
Disadvantages:
1. The shop keeper needs to maintain the information about customer,
call information, payments and credits manually.
2. If the shop keeper wants payment information about a customer
then he needs to search through out the entire book manually.
3. The shop keeper needs to calculate the amount as per the new tariff
rates.
4. He can’t get the overall business report.
Proposed System: The proposed system is a software application which tracks the details about different customers, calls, payments and credits. It allows the shop keeper to change the customer address and other details any point of time. Using this the shop keeper can collect some advance amount and allows the customer to connect to outside from their home phones, calculate the amounts based on the no of minutes and the pulse rate to the country that the customer has made a call. He can get the remaining balance of any customer on a single click.
Advantages:
1. This system computerizes the process of storing the information regarding customers, payments, advance amounts and remaining.
2. This system helps the shop keeper to get the customer information at any point of time.
3. This system automatically calculates the call rates based on the listed tariffs
4. This system also generates the customer-wise and date wise business report
Technical Description
Databases: The total number of databases that were identified to build the system is 9. The major part of the Databases is categorized as Administrative components and the customer components. The administrative components are useful is managing the actual master data which is useful to start the application and use it. The administrative databases are purely used for supporting the customer components. The customer components are designed to handle the transactional state that arise upon the system whenever the general customer makes a phone call in our shop and also for the sake of the report based information. The customer components are scheduled to accept parametrical information for the user to store the information related to each individual customer.
GUI’s:
For the flexibility of the user, the interface has been developed in graphical user interface mode. The normal interface is applied through browser.
The GUI’s at the top level has been categorized as:
1) Administrative Information interface
2) Customer Information interface
The administrative information interface concentrates on the consistent information that is practically, pact of the facilities what we are providing and which needs proper authentication for the data collection. This interface helps the administrator in tariff management based on country, inbound/outbound calls, availability/unavailablilty with different schemes and data updation with the data search capabilities.
The customer information interface helps the users upon the system in transactions through the required services that are provided upon the system. The customer information user interface also helps the shop keeper to maintain the information related to each and every customer, their call record and their payments. It also helps in generating different kinds of reports which depicts the overall business in a single mouse click.
Number of Modules
The system after careful analysis has been identified to present with the following modules.
• Tariff Management Module:
This module generically maintains all that information about tariffs to different countries and for inbound/outbound facilities. It also stores the information about whether our facility is available to a particular country or not. It also allows the administrator to allot different scheme cards to the customer basing their call history which helps in giving the discounts. It maintains proper integration with the Call Record module and Payment module
• Customer Management Module:
This module generically maintains the information about all the customers who are utilizing our services and making calls to different places. It allows the administrator to add a customer by storing Personal Info, Address, Contact and Account Info. It allows us to edit the customer info like customer type and customer status at any time. It also helps in showing all the customer details of at once or an individual customer.
• Call Record Module:
This module generically maintains the information related to phone calls made by each and every individual customer. Initially it asks the customer type (inbound/outbound) followed by customer name then it opens a form which store the information related to Calling Country, Customer status, Customer Scheme card, Calling Date, Source No, Target No, Duration then it automatically the amount and updates the current balance amount. It also helps us to maintain customer call history so that the customer need not type the entire the phone no to which he has called earlier. He can simply select the phone nos from list. Using this module we can see the call list that a customer has made to different places.
Payment Module:
This module finally finds itself to be assisting the administrators in bill payments. The administrator can view the list payments related to a customer and he can payments and stores the information in the database. It also allows us to edit the payment details. This module has integral binding with the Call Record module.
• Settings module:
This module allows the administrator to change the current date settings, inbound tariff list of a country and their schemes information, outbound tariff list and their schemes information.
Reports:
This module helps us in generating different flexible reports to know overall business status. It generates customer reports which include active Customers report and Inactive customer report, Inbound/customer report, below or above age limit customer reports. It can generate the payment reports which include monthly report and customer wise report. It can also generate call history report which includes Day-wise report, Monthly report and Country Wise Over all business reports.

Feasibility
Technical Feasibility
The system is self-explanatory and does not need any extra sophisticated training. As the system has been built by concentrating on the Graphical User Interface Concepts, the application can also be handled very easily with a nowise User. The overall time that is required to trains the administrator or shop keeper upon the system is less than half an hour.
The system has been added with features of menu driven and button interaction methods, which makes the user the master as be starts working through the environment. The software’s that were used to develop the market are already used the customers. The net time the customer should concentrate is on the installation time. That’s what we are giving in the form of manual.
Financial Feasibility
Time Based:
If the administrator or the subjective person has to know about the where about of different customers and their calls info, then in the manual system a concentrated search has to be applied through many registers or ledgers, which is time consuming. If within the system some data has to be registered then all the referential registers have to be filled sequentially which is a redundant process. With the designed database all these overheads are eliminated, making the actual system more faster in calculating the call amount, advance payment and current balance which keeps the system in pace with the associated trends and technologies.
Cost Based:
Within the manual system a perennial amount of finances are incurred continuously upon the extra staff, maintaining the data manually on paper for all the date integrated jobs. The information has to pan through many hands at proper time to apply the consistency standards which is the backbone for any company, this application consistency is increased with the designed software which eliminates the actual investment upon the employee’s salaries and purchasing the books and papers continuously increase the profits. The system over installed and configured makes the overall system to be intact with respect to required data exchange, on long term this effects the organization in controlling its costs and thereby increasing in its profits.
