INTRODUCTION AND BACKGROUND

It is obvious that in all Ethiopian higher institutions especially in the new ones Information Communication Technology is not introduced as much as it is expected to be. Almost all activities are going on manually, which leads to wastage of time, labor, accuracy, and speed. It is known that library is the back bone of the university, so it should be advanced and computerized to provide the required services for the students and also for other users of the system.
So we have decided to develop computerized library system for Jigjiga University that overcomes the problems of the existing manual system. Our new system enables both the university students and the library system to efficiently use their time and resources. The systems we are developing is expected to more efficient, reliable, and gives mechanism of controlling the resources such as books, research papers and also provide scheduling for the library.
Jigjiga University was founded in 1999 E.C. even though it has no enough facility the library is also established at that time. At the time of foundation the library had no its own building, as a result it was using the upper floor of the cafeteria. At that time the library had no well organized room for office work, no enough shelves for ordering (arranging) books, and also the library had no specification between social and natural science until 2002 E.C. But now the library has its own two buildings and is divided in to two parts, the main library (education library) and the faculty of business and economics (FBE) library. But this does not mean that the library has enough facility to perform its activity. At this moment out of the newly organized universities it is in a better way of being technologically advanced. As we have got information computerized library system is developed for the library even though it is not implemented yet. Thus till now the library uses manual system for all of its operations such as keeping employee profile, book detail and any kind of reports generated by operation on the books and employees profile.


Method and Tools

We have used interview, questionnaires, and document analysis in order to determine the information which is used in the existing system and very important to develop the automated system.


Report generating in the existing system

In the existing system the report is generated as the requirement of the organization. The organization asks the responsible employee to provide report. As we observed and also interview the library managements the report generating mechanism is manual, that is any kind of report is written on paper by human and then it will be transformed for whom it concerns.


Strength of the existing system

As it is being new the library has no capacity to fulfill all of its requirements. But beside this the library has the following strength:-
 The library has an attendance sheet to control its employees
 The library has two branches which helps the library to give a better service to the users of the library
 The library orders (arranges) the books by their departments which makes somewhat easier to search for a book.
 The library has different rooms for reading journals and research papers
 The library gives a pocket for the borrowers so that it is easy to know who and what book the user has borrowed


Option analysis and the proposed system

In our new proposed system we are going to develop schedule for the library system that is capable of controlling the employees of the library in better way than before. In the schedule there are three working shifts. For the employees who are present on time it will indicate present, for those who are late comers it will indicate late comer and for those who are absent it will indicate absent.
The other thing in our proposed system that we will allocate unique identification code for each books thus there will not be problem of differentiating the circulation books from any other shelve books.
The system is able to borrow book with unique code of the books and also storing the details of the borrower along with the book. The system also records the due date and the issue date so that there will be a fine charge for users who do not return the borrowed books on time.
The users including the library employee are able to search books form any place kept in the library by using title or subject or author. Beside all this the authorized librarians are capable of performing operations on book more easily than before


REQUIREMENT DEFINITION/DETERMINATION AND ANALYSIS

System analysis is the part of the systems development life cycle in which you determine how the current information system functions and assess what the user would like to see in the new system. During requirement determination the system analyst gather information on what the system should do from as many sources as possible: from the user of the current system, from observing the users and from report forms, interview, and etc. for developing our proposed system we have used interview, practical observation, and document analysis to determine the requirement of the system.


The overall description
Our system in general makes the library service giving capacity more efficient and reliable. Any operations can be done easily with an easy interaction with the system. Not only can this but also with the system reports be generated more easily than before.
3.2.1 Product perspective
The proposed library management system which will be developed by the project team member is desktop application. This system will provide search and borrow books mechanism for the users of the library. The search will be based on various categories title, subject and author of the book. Further the librarians can perform update, delete, and insert operations on the books as needed. The system also prepares and provides control mechanism of the schedule of library. Lastly the system has report generating mechanisms for operations performed in the library.
3.2.1.1. User interface
It is how the user will interact and access the system. That means how information will flow between the user and the software. The user interface requirements for the system are: -
 System will provide graphic user interface for all functionality
 The user interface should provide processing message to users to indicate the status of an action
 The system will prompt for a password to secure it from unauthorized


SYSTEM DESIGN

Introduction
The purpose of designing is to show the direction how the system is built and to obtain clear and enough information needed to drive the actual implementation of the system. It is based on understanding of the model the software built on. The objectives of design are to model the system with high quality. Implementing of high quality system depend on the nature of design created by the designer. If one want to changes to the system after it has been put in to operation depends on the quality of the system design. So if the system is design effetely, it will be easy to make changes to it.


. Component modeling

Component diagram are implementation type diagram that are used to graphically depict the graphical architecture of the software of the system. They can be used to show how the programming code is divided in to module or component and to depict the dependences between those components.


IMPLEMENTATION AND TESTING

Introduction
The Implementation phase in the software life-cycle is where the actual software is implemented. The result of this phase consists of source code, together with documentation to make the code more readable. This is what we call software implementation. The purpose of these activities is to convert the final physical system specification into working model with reliable software and hardware, document the work that has been done, and provide help for current and future users and take care of the system.


Conclusion

As the scope of this project describes we developed the library management of Jigjiga University by making it more reliable and efficient. The system will register new book, borrow book, set schedule for employees and perform additional task that will be performed by the system. These tasks include adding, removing, updating, and issue book and also generating report will be performed by the system.
So the system will:
 Minimize the work load
 Make decision process fast
 Minimize the time required to perform task
 Provide sufficient security
 Reduce the number of employee involved
This document use the object oriented technology called UML (unified modeling language) that enable the user to understand the software easily.
We finally conclude that JJU library will be benefited by the system developed, and accept it cheerfully.
During working on this project, we members of the team have learnt a lot. We have gained the knowledge of coding, we have became familiar with the .NET frame work and other programming languages, we have experienced working in group, practiced software engineering, and a lot more things that will have their own impact on our career
