The purpose of this project Automation of HRD Records is to allow the users to manage the information regarding letters such as receiving letters, sending letters, various operations can be implemented such as delete, update, replying the letters, etc., also provides the facility of user login and admin login thus making it safe and secure to access. The Graphical user interface of this software is such that even the layman user has easy access to it. The GUI is very interactive containing different modules.This software makes the process simpler as well as many folds efficient at the same time. Moreover, it provides a login facility to both the Admin and any other user, thereby making the whole process secured. It allows the admin to have upper hand by imparting the privileges to an individual which a user does not have, thus differentiating the role of the admin from all others. Specifically the software provides two important functions, firstly to refine entries from thousands of them and secondly to save the refined search as PDF document at desired location.
Overview of Automation of HRD Records

Automation of HRD Records is a software which stores and manages all the information regarding the technical correspondence of laboratory with DRDO headquarters, other sister laboratories and other agencies. The database of the software stores the information of files & letters received and dispatched from different divisions of the organisation. It is an integrated package which gives administrative support right from Login, diarising, receipt, forward, disposal, dispatch & posting etc, and queries to track the status of letters. Special Modules offered to Administrator ◦ To create User Account by assigning username & password to the user. ◦ To Update User Account by updating the username or password of already existing user. ◦ To Delete User Account by deleting the username & password from the list of existing users. ◦ To Update Admin Account by updating the admin name & password as per the requirement. ◦ To View & print (PDF) Account Information. GRAPHICAL USER INTERFACE Actually every application has one user interface for accessing the entire application. In this application also we are providing one user interface for accessing this application. The user interface designed completely based on the end users. It provides friendly accessing to the users. This user interface has an attractive look and feel. Technically I am using the swings in core java for preparing this user interface. Conclusion: The scope of this project is not limited to a particular organisation, it can be used generally in every organisation where the firm is divided into groups and there is need to register the communication between groups through mails. The developed system is flexible and changes whenever can be made easy.
